Cancellations & Refunds

We understand that travel plans may need to change. If you need to cancel your trip, please notify Pilar Pava Events as soon as possible. All cancellations must be submitted in writing via email to be valid.

Cancellation Fee Schedule

  • More than 90 days before departure:
    A minimum fee of $100 per person

  • 90 to 61 days before departure:
    5% of the total trip price

  • 60 to 46 days before departure:
    7% of the total trip price

  • 45 days or fewer before departure:
    10% of the total trip price

Agency Service Fee & Commission Protection

As a travel professional, Pilar Pava Events invests a significant amount of time in planning, researching, and coordinating each trip. When a booking is canceled, and any expected supplier commission is forfeited, we reserve the right to charge an Agency Service Fee to recover part of the time and labor already provided.

For high-value trips (over $10,000), an additional fee may apply depending on the complexity and time invested. This fee is separate from supplier cancellation penalties and will be communicated in writing. These fees are nonrefundable.  Nontransferable.

Refund Processing & Timeline

Refunds for canceled services will be processed according to the individual suppliers' policies (e.g., hotels, airlines, tour operators). Pilar Pava Events will make every effort to expedite refund requests, but final processing times may vary depending on the vendor.

Agency fees and nonrefundable deposits are not eligible for reimbursement.

Payment Disputes & Chargeback Policy

By submitting payment to Pilar Pava Events, the client acknowledges and agrees to the terms outlined in this Cancellation & Refund Policy, as well as all fees associated with planning and coordinating their travel arrangements.

​

Clients further agree not to initiate a credit card chargeback or payment dispute without first making a good faith effort to resolve the issue directly with Pilar Pava Events. Chargebacks made under false pretenses, such as disputing nonrefundable deposits, cancellation fees, or time-based agency services that have already been rendered, will be considered a breach of contract.

​

In the event of a credit card dispute, Pilar Pava Events reserves the right to provide the signed agreement, email correspondence, and documented service records as evidence of services provided and the client’s acceptance of our terms.

​

Should a chargeback be initiated without proper cause, we reserve the right to pursue legal remedies and charge an administrative dispute fee of $250, in addition to recovery of any fees reversed through the dispute.
